How to set up your NEW medication list for the NEW GA & hospital chart





Download CSV TEMPLATE

Firstly, download the medication spreadsheet from the preferences MENU > SETTINGS > MEDICATION LIST tab.


Click on DOWNLOAD CSV TEMPLATE. A CSV file will download to your computer.


Open template_medication.csv in Excel.


Enter your medications and items into the CSV file

  • Display name(Medication Name)
  • PMS name/code
  • Dose rate (NUMBERS ONLY)
  • Dose units e.g mg/lg, mcg/kg (REMOVE NUMBERS)
  • Concentration (NUMBERS ONLY)
  • Concentration units e.g. mg/ ml/ tab (REMOVE NUMBERS)
  • Route (IV/ SC/ IM/ PO)
  • Species (Dog/ Cat)
  • Is a medication (medication)
  • Billable (on/ off)

NOTE: Please replace any , commas with a / forward slash


Once you have entered the medication details, click Save.


Tips for completing this CSV file

  • For high and lose doses, set up a line item for each one
  • For medications with the same dose but different species, enter a separate line item or enter both dog, cat with a comma between as the species
  • When the route can be chosen from the users end, enter multiple routes with a comma between and the end use can select the route they wish to use e.g. IV, SC, IM
  • Only the medication name, dose rate, concentration cannot be changed by the user, once selected in the chart
  • If you are not a RxWorks or Ascend user, leave the PMS codes blank or enter these for the potential integration with your practice management system down the track

Upload the file to VetCheck

Upload the CSV file using the “Choose file” section and click on Choose file.


Select the template_medication.csv and click Open.


Click on UPLOAD MEDICATION LIST. Your products and items will list below and also appear in a product search within the new Hospital and GA charts.


Select medications from New Hospital Chart or New GA Chart

When you are in a hospital or GA chart, simply select a medication by typing.


Once selected, the product will autofill any sections where relevant. The dose will automatically calculate but you can edit the dose as required.


The drug will then appear in the list and on the active patient whiteboard.


Select the administered time and the medication will appear in Billable Items section.




Anything billable will appear in the billable items checklist below when administered and for integrated automated billing, will also push back onto the invoice for charging.

How to add an item or medication list that is not on the CSV file

You must use the + ITEM button within the new GA or hospital chart.


Enter the name you wish to add as a task i.e. Make a discharge appointment, Call owner and click ADD NEW.




Troubleshooting

  • If the medications don’t upload properly, check that you have removed or separated the numbers or letters where required.
  • If you have a high dose and low dose for a medication, enter both with HIGH or LOW in the name, not in the dose rate number. You will also have the opportunity to change the dose once it has been automatically calculated in the chart.
  • If your medications are not showing in the NEW GA and Hospital chart, it may mean that you have accidentally loaded an old GA or hospital chart.
  • Separate species with a / not a comma e.g. dog/cat/rabbit
  • If you have changed your doses or have new medications, just add to your existing spreadsheet and re-upload your file.
  • You can still add items to the spreadsheet too, just leave the spaces in the spreadsheet blank.
